A safe harbor for your back office

Benharbor runs benefits administration and HR compliance as a managed service, and builds the custom applications and websites that sit alongside them. Your team stops carrying the administrative work — and your carriers, systems, and employment relationships stay yours.

Built for employers with roughly 10–150 employees

What we run

Three functions, off your desk

Take one or take all three. Each is delivered against a written scope, so you always know where our work ends and yours begins.

Benefits Administration

The whole benefits calendar, run for you — from the open enrollment window through every mid-year change.

  • Open enrollment setup, communications, and election tracking
  • New hires, terminations, and qualifying life events
  • Carrier connections and monthly premium reconciliation
  • COBRA coordination and notices

HR Compliance

The filings and records that are invisible until an audit, a claim, or a due-diligence request makes them urgent.

  • Handbook maintenance and policy updates
  • I-9 verification and personnel file hygiene
  • Connecticut Paid Leave and sick-time compliance
  • ACA reporting — Forms 1094-C and 1095-C

Technology & Development

The team that runs your administration can also build the tools it runs on — and clear the IT work that keeps getting deferred.

  • Custom application design and development
  • Websites and client portals
  • Workflow automation and systems integration
  • Day-to-day IT support and vendor coordination

How it works

Three stages, in this order

Transitions fail when everything moves at once. We take work over in sequence, documenting each process as we go, so nothing ends up depending on one person's memory — including ours.

  1. STAGE ONE

    Discovery & audit

We map what exists today: carriers and renewal dates, every recurring filing and compliance deadline, the systems you run on, and who currently touches what. You get the map whether or not you hire us.

  2. STAGE TWO

    Transition

We assume the run-book in stages — typically benefits first, then the compliance calendar — writing each procedure down as we take it on. Technology work runs on its own track, so a build never holds up an administrative handover.

  3. STAGE THREE

    Steady state

You get a named administrator, a shared inbox with a same-day response standard, a monthly reporting rhythm, and a portal where the current state of your benefits, compliance, and open projects is always visible.

Why Benharbor

Most small employers are handed two bad options

Either an already-overloaded office manager absorbs benefits and compliance on top of their real job, or a PEO takes the work — and becomes co-employer of your staff, bundles you into their insurance, and makes leaving expensive.

Benharbor is the third option: the administrative burden leaves, and everything else stays yours. Your carriers, your systems, your employment relationships, your data.

In-house

Cheap until it isn't. Institutional knowledge lives in one person's head, and coverage collapses the week they take vacation or resign.

PEO

Real capability, but you become a co-employed worksite. Your benefits are their master plan, and unwinding it later is a project.

Benharbor

A managed service under your own EIN. Documented procedures, a named administrator, and a portal you keep access to. Cancel and the run-book comes with you.

Start with the audit

A short conversation, then a written map of your current back-office setup and what it would cost to have us run it. No obligation to continue past that.
